ATTENDANCE & SUPERVISION POLICY

SCOPE

The safety and well-being of all children is our paramount concern. This policy sets out the club’s arrangements for the supervision, drop-off, and collection of players aged 4–17. It applies to all training sessions, matches and social events organised by the club.

CLUB RESPONSIBILITY

The club is responsible for players only during official training sessions and matches, from the published start time until the session ends, when authorised and DBS checked adults must be present. Responsibility does not extend to travel to or from venues, or to periods outside advertised session times.

Arrival and departure

DROP-OFF: Children should not arrive at the venue more than 15 minutes before the scheduled start time of an activity, unless prior arrangements have been made with the coach or team manager.

AGES 4–10: Parents/carers must remain on site for the duration of the session. If unable to remain on site, they must arrange for another responsible adult to supervise their child and must inform the coach or team manager in advance.

AGES 11–15: Players may be dropped off independently. Players must not be dropped off early or left unsupervised outside the advertised session times. Parents/carers must ensure they are contactable at all times.

Collection and Leaving

AGES 4–10: Players must be collected by a parent/carer or an authorised adult. Coaches will release players only once collection is confirmed. If a child is not collected within 15 minutes of the scheduled end time, the coach or team manager should attempt to contact the parents or emergency contacts. If no contact can be made within 30 minutes, the club welfare officer must be informed.

AGES 11–15: Players may leave independently with parental consent. Parents/carers remain responsible for their child’s travel to and from the venue.

If You’re Running Late

If circumstances mean that a parent or guardian will be delayed in collecting their child, they must contact the coach or team manager as soon as possible to inform them of the situation and expected arrival time. The child will be supervised by club volunteers until the parent or guardian arrives. Repeated late collection may be treated as a safeguarding matter and be referred to the Club Welfare Officer.

Where collection is significantly delayed and contact cannot be made, the Club Welfare Officer may be informed so appropriate steps can be taken.

Parents/carers must inform the coach or team manager of any changes to normal collection arrangements. The club reserves the right to verify the identity of any person collecting a child.

 

Players aged 16 and 17

Players aged 16 and 17 are considered children for safeguarding purposes and remain subject to the club’s safeguarding policies and procedures at all times. During all club‑organised activities, players remain under the supervision of authorised adults.

Players in this age group may:

  • Attend sessions independently
  • Arrive and leave without parental supervision
  • Be responsible for their own travel to and from the venue

AWAY MATCHES

For away matches and trips, parents of children under 16 years must either accompany their child or arrange for their child to travel with another parent or guardian. Coaches must never transport children in their own vehicles unless this has been agreed in advance with parents and appropriate insurance and safeguarding measures are in place.

Supervision and Staffing

The club will ensure appropriate adult-to-child supervision ratios are in place at all sessions. All coaches and volunteers in regulated roles will hold appropriate Safeguarding Children training certification and Disclosure & Barring Service (DBS) clearance.

Communication and Safeguarding Concerns

Parents/carers should raise any safeguarding questions or concerns promptly with the Club Welfare Officer. Concerns will be managed in line with the club’s safeguarding procedures and, where appropriate, FA guidance.

The club will work constructively with families to address any difficulties in meeting the requirements of this policy and will seek to find practical solutions wherever possible.

This policy will be reviewed regularly and may be updated to reflect changes in guidance or club operations. Any amendments will be communicated to all parents, guardians, coaches, and volunteers.
